How to include supply substitutions in a cleaning agreement

A supply substitution can change more than a bottle's scent or price. It may change the intended surface, application instructions, storage needs or protective measures. Build a review step into the cleaning scope so an unavailable product does not lead to an unapproved replacement arriving on the job.
Identify the product and task being replaced
Keep the approved product's exact name and manufacturer with the task list. Note whether it is ready to use or concentrated and which areas it is intended for. Ask the provider to explain why a substitute is proposed: supply availability, a changed surface requirement or another practical reason.
Do not accept “equivalent cleaner” as the entire description. Request the proposed product's current label, safety data sheet where applicable and technical information relevant to the installed surface. A similar color or marketing claim does not establish equivalent instructions.
Compare the use instructions
Review the task, surface compatibility and application method against the actual product and material documents. If a disinfectant is involved, check its labeled use site, surface and relevant directions rather than assuming every disinfectant has the same permitted uses. EPA explains that effectiveness claims depend on the reviewed label and its directions. EPA registered disinfectants guidance
For example, changing a product may require a different contact time or preparation step. The procedure must change when necessary; staff should not use the old instructions with the new container. The example is a reason to compare labels, not a recommendation for any particular chemical.
Review handling and storage information
The safety data sheet organizes important information such as hazards, handling and storage, exposure controls and incompatibilities. OSHA describes these under its standardized SDS sections. Use the current document for the exact product rather than a generic sheet found for a similar brand. OSHA SDS information
Ask the responsible employer to determine the training and protective measures required for its workers. A customer's purchasing approval does not replace that responsibility. Never mix an old and new product to use up remaining stock or refill an unidentified bottle.
Use a short substitution review form
Include these fields in the proposed workflow:
- Existing product, task and rooms:
- Proposed exact product and manufacturer:
- Reason for the change and proposed start date:
- Current label and SDS references:
- Surface compatibility confirmation and source:
- Changes to method, equipment, training or storage:
- Fragrance or other agreed purchasing requirements:
- Price or scope change, if any:
- Person authorized to approve, decision and date:
- Instructions for remaining original stock:
This is a practical review record, not legal contract language or a blanket approval list. Have the relevant business contacts agree on how it fits their actual agreement.
Define what happens while approval is pending
The provider should know whether to continue with the original approved product, postpone the affected task or propose another option. Specify who receives an urgent availability question and who has backup approval authority. Do not silently replace a product because a visit is already scheduled.
A hypothetical shared office may approve an alternative for a documented tile surface but leave its use on an unidentified stone reception counter pending. That partial decision should appear on the task list so approval in one room does not spread to the entire building.
Check implementation and stop conditions
At the next visit, confirm that the delivered product matches the approved record and that relevant instructions are available. Remove the outdated item from the active task list without deleting the decision history needed to explain the change.
Pause if product identity is uncertain, labels are missing, manufacturer directions conflict, workers lack required preparation or an unexpected surface reaction occurs. Escalate to the appropriate supervisor or manufacturer rather than improvise. For JLV business-cleaning quotes, include your substitution-approval contact and any established product restrictions with the commercial cleaning quote checklist. Availability and suitability must be confirmed for the actual scope.
