How to phase a cleaning handover between vendors

Four numbered checkpoints connect scope agreement, baseline recording, resource transfer and review of early visits.
Keep service boundaries, resources and unresolved work visible during a provider change.

Phase a cleaning-vendor handover around four checkpoints: confirm the old and new service boundaries, document the starting condition, transfer approved resources, and review the first visits. The goal is a clear transition record. A change of provider does not by itself remove old deficiencies, establish new access rights, or guarantee uninterrupted service.

Confirm dates before transferring responsibilities

Review the current agreement and the replacement proposal with the person authorized to manage them. Identify the last authorized service, the first proposed service, and who covers any gap. Check notice and cancellation requirements in the actual contract; seek qualified advice where those obligations are unclear.

Record which provider is responsible for each scheduled task during the changeover. Periodic floor work is particularly easy to lose between calendars. If it is due near the transition, decide explicitly whether it belongs to the outgoing scope, the incoming scope, or a separate order. Do not assume the incoming team inherits every previous promise.

Create a baseline with the site contact

Walk the site before the first new service and record visible conditions by room. Distinguish routine cleaning needs from damaged finishes, maintenance problems, stored materials, and inaccessible surfaces. Use approved photographs only when they can be taken without personal or confidential information.

For example, a meeting-room carpet mark can be recorded as “visible dark area beside east doorway; origin unknown; assessment requested.” That is more useful than assigning blame or promising removal. If the initial condition requires additional work, have the provider describe and obtain approval for that work separately from recurring visits.

Transfer resources through the right owners

Prepare a handover list for keys, access cards, site instructions, dispenser keys, stored supplies, and equipment. Record who owns each item, who receives it, and the transfer date. Do not pass alarm passwords or other credentials in an ordinary email attachment. The building’s authorized security contact should issue and revoke access through its normal process.

Supplies need more than a quantity count. Identify product names, labels, storage locations, and ownership. Do not require an incoming team to use unidentified liquids or unfamiliar chemicals simply because they are already on site. Product selection, instructions, training, and any required safety documentation must be addressed before use.

The FTC’s guidance on protecting business information supports restricting access to those who need it. Review who can still open shared photo folders, service logs, and site instructions after the handover, using your organization’s approved process. FTC business information guidance

Give the first service a defined boundary

Identify the rooms that will be ready, the approved entry window, the waste destination, and the person available for access problems. Keep unresolved tasks visible. A locked storage room should appear as an access exception, not as work that was supposedly completed.

During an office renovation, also confirm that the relevant area has been released for the proposed cleaning activity. Active trade work, unknown dust, and incomplete finishes may prevent normal service. The cleaning handover should not substitute for construction safety approval or building acceptance.

Review early results against the new scope

After the first agreed visits, inspect a short list of representative areas with the new provider. Compare results with the written task schedule and starting-condition record. Assign each open item an owner and a next update date. Track completion separately from acknowledgement so a friendly response does not close an unresolved issue.

For a JLV office-cleaning proposal, share the transition dates, current task list, baseline issues, and access requirements. That gives both sides a practical basis for planning the start without making unsupported promises about transition speed or outcomes.
